Ivan Vekirchyk, a co-founder of KNESS, shared his experience in business automation and systematization with entrepreneurs. As part of the FENIX educational business project, companies’ owners and directors, as well as heads of departments who strive for continuous development, had the opportunity to learn about approaches and tools useful for optimizing and improving business processes.
Here are the main points covered in the lecture:
- Before starting to optimize business processes, it is necessary to clearly understand the final goal. It is easier to find a path when business owners know what result they want to get after optimization.
- Don’t develop a system for the sake of a system. If it takes more time to create a system than it will save after its implementation, it makes no sense to take it on. Therefore, it’s better to start with strategically important departments and key processes.
- The algorithm of actions is as follows: describe the processes, calculate the time, evaluate the efficiency, integrate it into work, check the efficiency, and improve the processes. The peculiarity of a systemic business is that its processes can always be tested and improved in the course of work. It is important that employees have the opportunity to get involved, offer ideas, and be proactive participants in the business process improvement.
- Excel, CRM, ERP are the cornerstones of automation. In KNESS, we use the Ukrainian ERP system IT Enterprise. It offers all-in-one functionality (accounting, production, logistics, human resources), flexible customization options for the company’s needs, low implementation cost, quick start, and the Ukrainian language menu.
- Chatbot + artificial intelligence + ERP system = the formula that works in KNESS. KNESSbot + AI is a corporate chatbot for employees that combines the functions of a personal assistant, a communication channel, and a knowledge base with relevant and useful information. The bot is integrated into the ERP system, which allows employees to perform many organizational tasks directly on their smartphones: read corporate news, book vacations and business trips online, access information on payments, order corporate transport, find out colleagues’ contacts, request technical support, etc.
- AI can stimulate the business process reengineering by automating routine tasks, improving decision-making, and creating individualized customer experiences.
- The main marker of a systemic business is a business owner’s stepping back from operational management without losing business efficiency and business process flow.
